Position Summary: To provide a reception/administrative service to support Harley Street at UCH to deliver a high quality service to clients.
At Harley Street at UCH the Reception Area is the first port of call for all Patients, Consultants and Visitors. It is essential that we give an excellent impression to all our customers. Therefore we require a professional, motivated and customer focused member of the team.
A flexible and friendly approach is necessary in order to become a part of this hardworking team. Shifts and some weekends are required.
The Reception team also provide a service for radiotherapy. HCA staff will be situated on the main reception in UCH Radiotherapy for the times that there are booked HCA patients. Once these patients are seen and Radiotherapy has been completed the receptionist will return to T15.
Post holder will also work alongside the Patient Administration Department and undertake some of these duties as part of the role.
General
Responsibility:

•Ensure all patients, visitors and consultants are greeted in a courteous and helpful manner.
•Direct patients to the appropriate area
•Liaise with other Departments in order to give an efficient service to all.
•Answer all telephone calls promptly and professionally and direct to the appropriate areas as necessary.
•Allocate Consulting Rooms to Consultants and other users.
•Ensure that all outpatient clinic lists have been received timely and the diary is kept up to date.
•Pre-register all outpatients accurately, both on Meditech and UCH systems prior to their appointment.
•Upon arrival to register the patients and verify all details are accurate and up to date before asking the patient to sign the registration form.
•Obtain letters of guarantee from embassies for any treatment that will be carried out on the outpatient visit.
•Keep an accurate LOG of usage of Consulting Rooms. Enter weekly charges onto client accounts.
•Assist Patient Administration staff with Billing functions once fully trained.
•Ensure a good level of communication with all relevant parties.
•Update and maintain knowledge of hospital services/facilities that are relevant to the unit.
•Awareness and compliance with hospital policy
•Reporting faults/ service issues with the relevant party as appropriate
•Whilst in Radiotherapy role will involve escorting all HCA patients from Reception to Linac A, assisting with booking transport to and from Harley Street - liaising with other departments in Harley Street where required; and assisting UCH Reception in meeting and greeting NHS patients and escorting them to radiotherapy where possible

Requirements Good general level of education.
Good spoken and written English
Computer literate
Knowledge of relevant hospital policies and procedures
Resolving queries in a timely manner, seeking assistance as required
Demonstrate tact and diplomacy when raising financial issues with patients
Maintaining confidentiality
Good verbal and non verbal communication skills
Accuracy and attention to detail
Grasp basic medical terminology
Good team player
Excellent customer care skills
Ability to work under pressure, prioritising workload
