Position Summary: To provide secretarial and administrative support to the Director of Rehabilitation, to co-ordinate reception and secretarial support to the executive office.
General
Responsibility:

To arrange appointments, liaising with internal and external departments.
Arrange meeting and take and distribute minutes.
Maintaining Directors diary and assisting with time management / best use of resources.
To arrange UK / Worldwide travel arrangements.
To manage correspondence and telephone enquiries. Prioritise work to ensure deadlines are met.
Format and distribute patient reports.
Maintain and file accurate records.
Maintain and update central consultant / embassy contact databases.
Maintain and update staff training records.
Co-ordinate expense claims and annual leave requests.
Maintain stationery / stock levels.
Manage the booking and maintenance of consulting room.
Assist in event management and marketing requests.
Preparation of monthly / weekly payroll.
Preparation of Monthly accruals.
Processing invoices.
Provide secretarial support as required by Multidisciplinary Team.
To undertake duties as requested by the Director of Rehabilitation.
Project an efficient and professional image.
Maintain confidentiality of highly sensitive and personal information.
Co-ordinate receipt of work, requested by the Director, from other departments.
Collate statistical / date for reporting as directed.
Taking part in recruitment administration.
Maintain accurate records and minutes of meetings.

Requirements Previous experience in a medical setting preferred / advantageous.
Excellent spoken and written English.
Secretarial skills / qualification.
Previous experience at senior secretarial level.
Advances knowledge of Microsoft Word / Excel / PowerPoint.
Business Level written communication skills.
Knowledge of hospital departments and personnel and that of other hospitals within the group.
Hospital Health and Safety procedures.
Tact and sensitivity when dealing with patients and visitors.
